Landlords: Full name, company/property name, email address, phone number, and password.
Renters: Full name, email address, phone number, and password.

1.2 Application Information (Renters)

When completing a rental application, renters may provide:

Current address, employer name, monthly income
Move-in date and emergency contact information
Government ID (optional upload)
Live photo capture for identity verification
Digital signature

1.3 Payment Information

Application fees are processed through third-party PCI-compliant payment gateways (such as Stripe or PayPal). AppointGreen does not collect, store, or transmit your credit card or bank account details. We only receive a transaction confirmation and the last four digits of the card used.

1.4 Usage & Activity Data

We log activity for security and audit purposes, including login times, application submissions, status changes, and IP addresses.

2. Why We Collect Your Photo, Signature & Payment

2.1 Live Photo

Your live photo is collected solely for identity verification by the landlord reviewing your application. It helps the landlord confirm you are the person applying for the rental property. Your photo is:

Encrypted in transit and at rest
Only visible to the landlord who sent you the specific request
Not used for any other purpose, including advertising or profiling
Captured only after you provide explicit consent

2.2 Digital Signature

Your digital signature is collected to legally bind you to the accuracy of the information you provide in your application. It is:

Timestamped and tied to your specific application
Treated as a legally binding electronic signature
Stored encrypted and only visible to the reviewing landlord
Captured only after you provide explicit consent

2.3 Application Fee Payment

Payment is collected to cover the cost of processing your application as determined by the landlord. Payment details:

Processed entirely by a PCI-compliant payment gateway
Card details never touch AppointGreen servers
We store only the transaction ID, amount, and payment status

To facilitate rental application and lease signing workflows between landlords and renters
To verify renter identity as part of the application process
To process application fee payments
To send notifications about application status changes
To maintain security, prevent fraud, and keep activity logs

4. Data Sharing

We share your information only in the following circumstances:

Landlord-to-renter: Application details, photo, signature, and payment status are shared with the landlord who sent the request.
Payment processors: Transaction data is shared with the payment gateway to process fees. No card data is shared with us.
Service providers: We may use trusted third-party services (email delivery, hosting) that have access to limited data under strict confidentiality agreements.
Legal compliance: We may disclose information if required by law, court order, or to protect the rights, property, or safety of our users.

We never sell your personal data to third parties.

AppointGreen is not intended for individuals under 18. We do not knowingly collect data from minors. If you believe a minor has provided personal information, contact us for immediate deletion.
